The short version
- I collect your details when you get in touch, book a call, become a client or visit this site.
- I use them to reply to you, do the work you've asked for, send invoices and keep my records.
- A few trusted services help me do that, like my email, payment and booking tools.
- You can ask to see, correct or delete what I hold about you at any time.
1. Who I am
Site Sorted is run by me, Jak Lawrence-Hill, a sole trader based in Stewkley, Buckinghamshire. I'm responsible for your personal information, which makes me the "controller" under UK data protection law.
If you have any questions about this policy or your information, email me at info@sitesorted.dev or call 07472 504875. My full postal address is available on request.
2. What I collect
When you get in touch
If you fill in my contact form, message me, email or call, I'll have your name, contact details, business name and anything you tell me about your business and what you need. If you ask for a free website and Google check, I'll also have your website address and the answers you give.
When you book a call
Booking through my calendar gives me your name, email, phone number, the time you picked and any notes you add.
When you become a client
I'll hold your contact and billing details, our messages, what we've agreed, and the things you send me for your project, like photos, logos, words and logins. Card payments are handled by Stripe, so I never see or store your full card details.
From ads and other sources
If you fill in one of my forms on Facebook or Instagram, Meta passes me the details you enter, usually your name, email, phone number, business and answers to a few questions.
I sometimes contact businesses I think I could help, using details they publish themselves, like their website, Google Business Profile or directory listings. If that's how I got your details, I'll have your business name, the contact details you've published and notes of any conversation we have.
When you visit this site
I use Umami to count visits. It records which pages are viewed, which buttons are clicked (like booking a call or tapping my phone number), the website or link you arrived from, and your browser, device type and country. It doesn't use cookies, doesn't store anything on your device and doesn't tell me who you are. My hosting and security providers also keep short-term technical logs, like IP addresses, to keep the site running and safe.
3. How I use it, and why I'm allowed to
The law says I need a reason, called a lawful basis, for everything I do with your information. Here's what I use it for and the basis for each.
| What I use it for | Lawful basis |
|---|---|
| Replying to your enquiry and preparing a quote | Legitimate interests (you've asked me to), or taking steps to enter a contract |
| Doing the work you've paid for and looking after your site | Contract |
| Invoices, payments and my accounts | Contract and legal obligation (tax records) |
| Contacting businesses I think I could help, and following up | Legitimate interests (growing my business). You can ask me to stop at any time. |
| Showing finished work in my portfolio | Legitimate interests. You can opt out before we start. |
| Keeping this site and my systems secure | Legitimate interests |
| Counting visits and clicks on this site with Umami, to see what's working and improve it | Legitimate interests. Umami doesn't use cookies or store anything on your device, and the statistics don't identify you. |
| Emailing you news or offers, if you've asked for them | Consent. You can unsubscribe any time. |
If you become a client, I need some details to do the work and bill you. Without them, I can't take the project on.
I don't make any decisions about you using automated tools.
4. Who I share it with
I don't sell your information or share it for anyone else's marketing. I only share it with the services I use to run my business, and only what they need.
- Google for my email and file storage
- Umami for counting website visits
- Stripe for invoices and card payments
- Calendly for booking calls
- Netlify for hosting this website and receiving contact form messages
- Cloudflare for my domain and website security
- Meta (Facebook and Instagram) for my ad forms, and WhatsApp if you message me there
I may also share information with an accountant, or where the law requires it.
5. Data outside the UK
Some of these services are based in the USA or store data there. When that happens, the transfer is protected by the UK-US data bridge or by approved contract terms, so your information gets the same level of protection it would here.
6. How long I keep it
| Information | How long |
|---|---|
| Enquiries that don't go any further | 12 months from our last contact |
| Businesses I've contacted who aren't interested | I keep your number on a do not call list so you aren't contacted again, and delete the rest within 12 months |
| Client projects and messages | While we work together, then 6 years |
| Invoices and financial records | 6 years, as the tax rules require |
| Website visit statistics | While I use Umami. They're anonymous, so they can't be linked back to you |
7. Cookies and visit counting
Cookies are small files a website saves in your browser. This site doesn't use any for analytics or advertising, so there's no cookie banner. Here's everything it does use.
| What | Why |
|---|---|
| Umami No cookies, nothing saved on your device | Counts visits and button clicks so I can see which pages help people. It can't recognise you or follow you to other sites. |
| Page transition note Saved in your browser for a few seconds | When you click a link on this site, a timestamp is saved so the next page can fade in smoothly. It's never sent anywhere and is cleared when you close the tab. |
| Calendly Only when you open the booking calendar | Makes booking a call work. Calendly asks for your cookie choice itself inside the calendar. |
You can also clear cookies and site data in your browser settings at any time.
8. Your rights
You can ask me to:
- send you a copy of the information I hold about you
- correct anything that's wrong
- delete your information, unless I have to keep it, for example for tax
- limit how I use it, or send it to you or another business in a usable format
- stop using it for marketing or for anything based on legitimate interests
- withdraw your consent, where that's the basis I rely on
Just email info@sitesorted.dev. It's free, and I'll reply within a month.
9. Complaints
If you're unhappy with how I've handled your information, please tell me first at info@sitesorted.dev. I'll acknowledge your complaint within 30 days and do my best to put things right.
You also have the right to complain to the Information Commission (formerly the ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.
10. Changes to this policy
I'll update this page if anything changes, and the date at the top will show when. If it's a big change that affects clients, I'll let you know directly.
