Key terms
These are the parts most likely to matter to you. They're repeated in every proposal, and I'll ask you to confirm you've read them before we start.
- Payments aren't refundable once work has started. A website is paid 50% to start and 50% before it goes live.
- If I don't receive what I need within 7 days of asking, I can pause your project. Restarting a paused project costs £50 plus 2.5% of the project fee.
- Pay monthly plans run for 24 months. If you leave early, you pay the early exit fee, or your site comes down and the fee is still owed.
- Two rounds of changes are included in every website build. More are quoted before I do them.
- Hosting and care is £49 a month after an upfront build, and runs month to month with 30 days' notice.
1. Who I am
Site Sorted is run by me, Jak Lawrence-Hill, a sole trader based in Stewkley, Buckinghamshire. When these terms say "I", "me" or "Site Sorted", they mean me. "You" means the person or business I'm working for.
You can reach me at info@sitesorted.dev or on 07472 504875. My full postal address is on every proposal and invoice, and I'll send it to you whenever you ask.
2. Our agreement
Before we start, I'll send you a proposal with what's included, the price, how you'll pay and a rough timeline. Our agreement starts when you accept the proposal in writing (an email is fine) and pay the first invoice. It's made up of the proposal and these terms. If they disagree, the proposal wins.
Anything not in the proposal, like extra pages, new features or a change of direction, is extra work. I'll quote it before I do it, and I won't go ahead until you say yes.
3. Payments
Website builds paid upfront
- 50% to start. This books your place in my schedule and pays for the planning and design work, which starts as soon as it's paid.
- 50% before launch. Your site goes live once this is paid. It's due when the site is ready to launch, or 14 days after I tell you it's ready, whichever comes first. A delay in signing it off doesn't move the date.
Payments aren't refundable once work has started. The work they pay for has already been done, and the time I've set aside for your project can't be offered to anyone else. If you cancel partway through, you won't owe anything more than the payments already due, unless I've done work beyond what they cover, in which case I'll invoice for that work.
Other services
One-off services, like a Google Business Profile setup, a photo shoot or a logo, are paid in full before the work starts, unless your proposal says otherwise. Monthly services are paid monthly in advance.
Invoices and late payment
Invoices are due within 7 days unless they say otherwise. If a payment is more than 14 days late, I can pause work and, after telling you in writing, take the site or service offline until it's paid. For business customers, I can also claim interest and recovery costs under the Late Payment of Commercial Debts (Interest) Act 1998.
Prices don't include VAT. I'm not VAT registered at the moment, so none is charged. If that changes, I'll tell you before it affects anything you pay.
4. Pay monthly plans
A pay monthly plan spreads the cost of your website over 24 months, with hosting and care included. The first payment is taken when you accept, and the rest monthly after that.
- After 24 payments, the website is yours. Hosting and care then carries on month to month at the standard price, and you can cancel it with 30 days' notice.
- Leaving early. You can end your plan at any time by telling me in writing and paying an early exit fee. The fee is the monthly payments left in your 24 months, minus £49 for each of those months, because I won't be providing hosting and care for them. Once it's paid, the website is yours, just as if you'd finished the plan.
- If you don't pay the early exit fee, I'll take the website down. The fee is still owed, and the website stays mine.
- Missed payments. If a monthly payment is more than 14 days late, I'll let you know, and I can take the site offline until it's paid. If it's still unpaid 30 days after that, I can end the plan and the early exit fee becomes due.
Monthly marketing services, like Google Business Profile management or social media, are separate from your plan. You can add them on top at any time.
5. What I need from you
I work to tight schedules and book projects in back to back, so I need the things you're providing to arrive on time. That usually means your logo, photos, words, logins and answers to my questions.
When I ask for something, I'll tell you what I need and the date I need it by, which will be at least 7 days away.
- If it hasn't arrived 7 days after I asked, I can pause your project. I'll tell you in writing when I do. Your slot in my schedule is then released to other work.
- Restarting costs £50 plus 2.5% of the project fee. This covers the time it takes to re-plan, catch up on your project and find a new slot for it. On a £1,599 website, that's about £90. It's charged once, when you ask to restart, and the new timeline depends on when I next have space.
- If a project stays paused for 60 days, I can close it. Payments already made aren't refunded, and I'll invoice for any work done beyond what they cover. If you'd like to pick it up again after that, I'll quote to finish it.
You're responsible for making sure you have the right to use anything you send me, including photos, logos, words and reviews.
6. Rounds of changes
Every website build includes two rounds of changes. A round is one list of everything you'd like changed, sent to me in one go. Changes within a round are things like wording, images, colours and the order of sections.
Some things aren't a round of changes: new pages, new features, a new design direction, or rewriting something you've already approved. I'll quote those separately, as I will any extra rounds, and only go ahead once you've agreed.
If I send you a draft and haven't heard back within 14 days, I'll remind you. If there's still no reply after another 7 days, I'll treat that round as approved.
7. Launch and sign off
When your site is ready, I'll ask you to check it and confirm you're happy for it to go live. Once the final payment is made, I'll launch it and connect your domain.
Your domain should be registered in your name. If you don't have one, I'll help you buy one in your name. If I've registered a domain for you in the past, I'll transfer it to you whenever you ask, once any money owed is paid.
After launch, I'll fix any mistakes in my work that you spot in the first 30 days, free of charge. New requests after launch are covered by your care plan, or quoted separately.
8. Hosting and care
After an upfront build, hosting and care is £49 a month. It includes hosting, security, backups, updates and small changes, as described on the website care page. It runs month to month, and either of us can end it with 30 days' notice.
I do my best to keep your site fast, secure and online, but no host can promise a site will never go down or never be attacked. If something goes wrong, I'll fix it as quickly as I can.
If you leave, I'll give you a copy of your site's files and help you move it, as long as nothing is owed. Some tools and licences are mine and don't transfer (see Third parties). Without a care plan, I'm not responsible for keeping your site updated or secure.
I'll give you at least 30 days' notice of any price change.
9. Monthly marketing services
Services like Google Business Profile management, local SEO, social media and ads management run month to month with 30 days' notice, unless your proposal sets a minimum term.
I'll always work to get you results, but I can't promise rankings, reviews, followers or a number of enquiries. Google, Meta and other platforms control their own systems and change them often.
Ad spend is paid by you, directly to the platform. It isn't part of my management fee.
10. Ownership
- Your website becomes yours once it's fully paid for. For a pay monthly plan, that's after 24 payments or the early exit fee.
- Things you give me, like your logo, photos and words, stay yours.
- My tools, templates, code and ways of working stay mine, and I can reuse them. You're free to use them as part of your website.
- Logos and branding become yours once paid for in full, and I'll send you the final files.
- Photos and video I shoot can be used by you, for your business, in any way you like, once they're paid for. I keep the copyright, which means I can use them in my portfolio too.
I may show your project in my portfolio and on social media, and add a small "Site by Site Sorted" credit to your site's footer. If you'd rather I didn't, tell me before we start.
11. Third parties
Your website and marketing use services from other companies, like hosting platforms, plugins, fonts, stock images, Google and Meta. They have their own terms, and I can't control their prices, changes or downtime.
Some licences are held by me and used across my clients' sites. They're included while I look after your site. If you move your site elsewhere, you may need to buy your own.
12. Your customers' data
If your site collects your customers' details, for example through a contact form, you're responsible for that data and I handle it for you. I'll only use it to run your website and services, keep it secure, and not share it with anyone except the service providers needed to run your site. If there's ever a problem with it, I'll tell you straight away. When our agreement ends, I'll pass it back to you or delete it, whichever you prefer.
You're responsible for your own privacy policy, and I can help you with one.
13. Liability
I'll do my work with reasonable care and skill. If something goes wrong because of my work, tell me and I'll put it right.
For business customers, my total liability to you is limited to what you've paid me in the 12 months before the problem. I'm not liable for loss of profit, business or data, or for problems caused by third parties, your own changes, or things you've supplied. Nothing in these terms limits liability for death or personal injury caused by negligence, or for fraud.
14. Ending our agreement
Either of us can end our agreement if the other seriously breaks these terms and doesn't put it right within 14 days of being asked. I can end it straight away if payments are more than 30 days late, or if I'm treated abusively.
If our agreement ends, you pay for work done up to that point, and any pay monthly early exit fee.
15. If you're a consumer
Most of the people I work with are businesses. If you're buying for yourself rather than a business, you're a consumer, and you have extra rights that nothing in these terms takes away.
- You can cancel within 14 days of accepting a proposal without giving a reason. Just email me.
- I won't start work in those 14 days unless you ask me to in writing. If you do, and then cancel, you'll pay for the work done up to that point and I'll refund the rest.
- If you cancel after the 14 days, I'll keep only what covers the work done and costs I've paid out, and refund the rest.
- The limit on my liability won't be less than the price you've paid.
16. General
I may update these terms from time to time. The version on this page when you accept your proposal is the one that applies to your project. For ongoing services, I'll give you 30 days' notice of any change.
If a court decides part of these terms can't be enforced, the rest still applies. These terms are governed by the law of England and Wales.
If you're unhappy with anything, please talk to me first at info@sitesorted.dev. I'll always try to sort it out.
